Camp Director

Summary: The Camp Director shall be a dynamic, self-motivated professional with proven management and leadership expertise, a distinguished reputation, exceptional integrity, outstanding interpersonal skills, strong values, and an enthusiastic commitment to camping excellence. The Camp Director is ultimately accountable for all duties assigned to staff members and for the successful management of Camp Lee in accordance with policies established by the Administrative Board, SPRC Board, and the Camp Lee Committee of AFUMC.

The Camp Director is responsible for providing direct leadership, guidance, and supervision of Camp Lee in achieving its mission, vision, and values to provide excellence in the Christian camping experience.

The Camp Director must have practical leadership and demonstrated operational skills to oversee and manage full-time/part-time employees, contract labor, apprentices, seasonal staff, and volunteers. Leadership responsibilities include: creating and communicating a sustainable vision; strategic forecasting; operational oversight; sound financial management; consistent staff supervision; physical and fiscal operations management; new gifts and donor development; ensuring technical, security, and safety training are upheld; maintaining high levels of satisfaction with services provided; and interacting in a consistent and positive way with the communities served.

I. Job Relations:

Reports To: Senior Pastor, Anniston First United Methodist Church (AFUMC) Chair, Camp Lee Committee

Direct Reports: All Camp Employees

Frequent contact with Camp Lee Committee Members, AFUMC church members, volunteers, donors, civic and business leaders, community members, for-profit businesses, not-for-profit and religious organizations, and the general public.

II. Responsibilities:

A. Leadership

a. Provide the forward-thinking leadership and planning essential for the future growth and relevancy of Camp Lee

b. Through leadership serve as a role model to enable staff to operate and perform as a team

c. Stay abreast of industry trends through resources and participation in the American Camping Association and Christian Camping Association

d. Monitor the camping environment locally and nationally and assess Camp Lee’s needs to adapt to meet changing demands

e. Assimilate findings and present to the Committee on an ongoing basis and to AFUMC and donors on an as-needed basis

f. Represent Camp Lee at all AFUMC meetings as required

g. Support the Committee and AFUMC in the strategic planning process

B. Camp Lee Committee Support

a. Assist the Committee in fulfilling their responsibilities and legal duties on behalf of Camp Lee and its charitable mission

b. Build a partnership relationship with each individual Committee member and the Committee as a whole

c. Execute the long-term strategic plan

d. Execute approved policies and procedures

e. Create meeting agendas, ensure accurate written meeting minutes are produced and approved by the Committee

f. Serve as an ad hoc member of all Committees

g. Facilitate Committee involvement and participation as needed and appropriate

h. Cultivate, develop and secure new donors and support existing donor relationships with Committee support

C. Camp Management

a. Ensure all services provided by Camp Lee are of high quality, safe and secure—all within an environment of extreme hospitality

b. Ensure all facilities, programs, food services, and camp activities meet regulatory, health, and safety standards and applicable laws

c. Plan, develop and implement emergency management plans for various types of emergencies that might impact Camp Lee

d. Administer Safe Sanctuary policies as approved on the national level and monitor to ensure compliance in all aspects of Camp/Retreat operations

e. Develop, maintain, and monitor a plan to assess and measure satisfaction with services provided by Camp Lee, including all who are consumers of those services, and take immediate action to mediate any concerns

f. Establish and maintain policies and procedures of Camp Lee that are compatible with standards required for accreditation by the American Camping Association and/or the Christian Camping and Conferences Association

g. Ensure that all programming provided by Camp Lee is consistent with its Mission and Values.

h. Ensure Camp Lee is continually compliant with Camp Lee Policies and Procedures, AFUMC Policies, and the Book of Discipline of the United Methodist Church

i. Monitor programming of hosted events to ensure integrity with Camp Lee’s mission

j. Act as a liaison between camper and program regarding parent or participant concerns and work as the key leader to assure a safe, fun, and quality program is provided in all areas.

D. Personnel Management

a. Recruit, interview, hire, and train qualified camp staff in adequate numbers, per job, to ensure the smooth performance of Camp Lee operations

b. Establish and regularly review staff compensation to ensure market standards are met within the confines of the budget

c. Provide ongoing education and training to achieve the highest level of competencies for each role

b. Solicit staff input and recommendations through regular staff meetings and an environment of collaboration

a. Set performance tasks and goals for each staff member

b. Conduct annual written staff performance evaluations to provide guidance and regular feedback in strengthening professional growth

E. Financial & Camp; Legal Management

a. Manage all operations in a manner that is fiscally and legally sound

b. Manage all Camp Lee accounting accurately and timely within the overall AFUMC systems. Ensure accurate and timely monitoring, recording and reporting of financial resources, and gathering and reporting the financial reports necessary for Camp Lee Committee Members and other such entities involved in the fiscal and legal management of Camp Lee.

c. Prepare a timely organizational budget with a detailed written narrative for Camp Lee Committee approval

d. Adhere to the annual budget and communicate any adjustments as necessary in a timely manner

e. Work with appropriate committees of AFUMC, pursue all reasonable sources of funding including grant-writing and community-based fundraising necessary to ease the burden of financial operation with the intent of maintaining self-sufficiency

f. Manage all the natural resources of Camp Lee consistent with sound environmental practices and the safety of staff and campers

g. Ensure a strong fiscal position and appropriate resource allocation.

F. Public Relations and Communication Management

a. Become the voice for Camp Lee in the community—serve as the external liaison, development, and promoter of Camp Lee to the communities served

b. Openly engage and communicate with churches and pastors for the purpose of raising awareness of Camp Lee opportunities

c. Ensure all internal and external marketing is appropriate, up to date, relevant to the programs/activities, and actively distributed to reach the current constituents and future participants

d. Issue timely and effective press information on Camp Lee news and events

e. Actively solicit hosted groups for the grounds, camping facilities, and wedding events not only to generate revenue but also to share this sacred space with a large diverse, and inclusive population of children and adults

f. Actively recruit campers, volunteers, and summer staff

g. Build effective working relationships with the Camp Lee Committee, AFUMC leaders, and members in order to share the goals and aspirations of Camp Lee and to receive feedback on performance and efforts to attain those goals

h. Create Camp Lee publications and marketing materials, write articles, take photographs, and maintain a current website

i. Ensure a consistent branding program in coordination with AFUMC & TCP.

G. Data Management

Ensure the maintenance of data and records is in accordance with Camp Lee and AFUMC policies. Provide reports to the Camp Lee Committee as needed and requested. Ensure files are organized, updated, and archived as necessary to maintain compliance with the IRS, GuideStar, ACA Camp Standards, and local, regional, state, and federal laws.

H. Maintenance of Camp

Ensure the camp is maintained in accordance with ACA, Camp Lee, and AFUMC policies. Be able to operate grounds care equipment such as mower, tractor, chain saw, etc., in a safe and efficient manner. Be aware and make necessary changes to hazards found on the camp grounds. Make minor repairs as needed on buildings and facilities. Perform and/or assist with emergencies -buildings, bathrooms, water lines, etc. Conduct an initial and end-of-season inventory. Ensure the schedule for checking physical plant and equipment for safety, cleanliness, and good repair is completed. Set up for special events. Oversee on-site construction projects.

III. Qualifications:

A. Education: Bachelor’s degree required.

B. Experience:

 At least seven years’ camp experience or equivalent non-profit management experience in an overnight camp/retreat center setting.

 At least five years’ experience in a supervisory role with skills in recruiting, training, and staff management.

 Experience with American Camp Association standards compliance and training or the ability to learn quickly.

 Prior experience with customer relations, professional boards, and volunteers is required.

 Wesleyan/Methodist affiliation and background are preferred, but not required.

 Software experience and proficiency in the following is required: Camp Brain, Microsoft Excel, Word, PowerPoint, Adobe Acrobat, Google Chrome or Firefox (or other internet access software), and email software

C. Special Qualifications and Knowledge:

 Must be a person of faith with high integrity.

 Must be a self-starter and able to work with limited supervision.

 Must have strong interpersonal skills with the ability to deal with a variety of people in a pleasant, professional manner. Must be able to exercise tact, patience, discretion, and confidentiality in communications.

 Must be creative and innovative in areas of responsibility and work effectively as a team member as well as a team leader.

 Must be able to manage and prioritize multiple tasks concurrently with attention to detail.

 Must have effective written and verbal communication skills, possess excellent problem-solving skills and be an engaging public speaker to audiences of all sizes.

 Must be flexible, adaptable, and possess excellent time management skills to successfully manage Camp needs.

 Must demonstrate courtesy, presence, initiative, judgment, and concern for personal appearance and affect.

 Must demonstrate excellence in the handling and security of funds (income and expenses), as well as in fundraising and managing special events.

 Must have current CPR/AED and First Aid certifications or ability to become certified within 60 days.

II. Physical Demands and Working Conditions: The working environment for this position is a combination of an indoor office as well as outdoors featuring extreme heat and cold environments at Camp Lee. All work areas will be provided with the necessary resources and equipment. Physical activities involve walking, talking, seeing, hearing, and other uses of the senses, keyboard and computer use, travel to meetings and business-related activities, reading, filing, bending, heavy lifting, and moving equipment. Must be able to lift up to fifty pounds. Occasional standing, stooping, kneeling, crouching, etc., is also required for this position. Occasional lifting, climbing, going up/down stairs and other physical exertions, i.e. participation in outdoor activities, are also required. Must be able to travel by car and air, possess a valid driver’s license, and maintain current auto insurance.

III. Hours of Work: This salaried position is full-time 40 hours per week. Camp Director will live on the property and work hours are varied, including evenings and weekends, depending upon the needs of the Camp.

IV. Other Duties: This position description is an accurate summary of the Camp Director’s duties and responsibilities; however, the Camp Director may be called upon to assume other duties as assigned.
